Medical Administrative Assistant

Summary:
 
Under the direction of the Mental Health and Addictions Program Manager the Medical Administrative Assistant performs administrative and clerical tasks. This includes providing support to Noojmowin Teg Health Centre employees (as well as our seven first nations clinics), assisting in the daily office needs and providing the administrative support required to maximize the effectiveness of Noojmowin Teg Health Centre programs, services and initiatives. 
 
Job Duties:
 
·        Create a warm and inviting reception for community members, visitors, individual clients and families, in person and on the telephone (including following sign in/out logbook)
·        Book appointments and rooms for consultants and clients. This includes booking the rooms and printing up requisitions/necessary documents as required
·        Assist with onsite client care and appointments for internal and external/visiting health professionals
·        Cancelling client appointments when staff call in sick
·        Schedule and attend meetings including documentation of meeting minutes
·        Assist with bookings for events/gatherings, program ordering and team support
·        Maintaining inventory of program resources and supplies
·        Support and coverage for NTHC’s Traditional Intake Coordinator
·        Check and monitor incoming voicemail messages
·        Maintaining and adding reports from the confidential fax into the EMR system.
·        Assist with front desk support
·        Assist other programs and services as needed.
·        Other duties as assigned.
 
Requirements:
 
·        Graduate of a Medical Administrative Diploma or equivalent; Or willing to take the 2 courses. Medical Terminology 1 and Medical Office Procedures. Any other relevant courses
·        3-5 years knowledge/ experience working in an Indigenous multi-service health and wellness environment preferred
·        Supportive and acceptance of both traditional and western models of health care
·        Prior experience utilizing medical scheduling software a plus, preferably with an EMR
·        Knowledge of various Indigenous and mainstream community organizations, service providers, and resources preferred
·        Exceptional attention to detail and accuracy
·        Ability to manage confidential and sensitive information
·        Ability to work in a fast-paced environment
·        Valid driver’s license and/ or access to a reliable vehicle
·        Ability to obtain/maintain a current and clear police check is a condition of employment
 
Work Conditions:
 
·        Frequent sitting required
·        Frequent periods of typing while sitting at a computer
·        Frequent interruptions within office setting
·        Occasional travel is required
·        Occasional lifting and bending
·        Potential exposure to biohazard chemicals
·        Potential exposure to infectious disease
